Booking Terms & Conditions

Read carefully. This is a legally binding agreement.
In consideration of being permitted to participate in an Afro Elevate trip (the “trip” or “tour”), you acknowledge and agree to the following terms and conditions.
All bookings are made with Afro Elevate (“Afro Elevate,” “we,” “us,” or “our”). By booking a trip, paying a deposit, or signing this agreement, you accept all of the terms in this agreement for yourself and all persons listed on your booking and direct Afro Elevate to perform travel services for each traveler. These terms constitute the full and complete agreement between you and Afro Elevate for any trip booked with us.
All travelers must be at least 21 years old unless otherwise stated.
By booking a trip with Afro Elevate, you signify your agreement with these terms and conditions.
Insurance Requirements
Travel insurance is mandatory for all Afro Elevate travelers. You must provide proof of valid travel insurance before attending the trip. Your travel insurance must cover:
• Personal injury
• Emergency medical treatment
• Repatriation
• Emergency evacuation including air ambulance
• Trip cancellation and trip interruption
• We strongly recommend coverage for personal property
Since all payments to Afro Elevate are non refundable unless Afro Elevate cancels the trip, travel insurance is your primary method to recover expenses if you must cancel. You are fully responsible for understanding your policy coverage and ensuring it includes every activity listed in your itinerary.
Most insurers require you to purchase travel insurance within fourteen days of your initial deposit for pre existing condition coverage or cancel for any reason coverage.
You agree to assume all medical and transportation costs you incur during the trip.
Deposits, Payments, Refunds, and Cancellations
All bookings must be made through our website. A non refundable deposit, listed on your itinerary, is required to secure your spot. All remaining payments are also non refundable.
Your booking is not accepted and no contract exists until Afro Elevate sends written confirmation by email.
For bookings made after the final payment deadline, the full trip price is due immediately and is non refundable.
Costs Not Included
Travelers are responsible for all costs not listed as included, such as:
Airfare, travel insurance, passports, visas, baggage fees, tips, personal expenses, laundry, Covid related costs, communication charges, airport taxes, additional activities, and any accommodations not included on the itinerary.
We are not responsible for deposits or payments for services not booked through Afro Elevate.
Payment Authorization
If payment is not received by the deadline, Afro Elevate reserves the right to charge the credit or debit card on file. If payment fails, your reservation may be canceled without refund and given to the next person on the waitlist.
Credit or Debit Card Chargeback Policy
By booking, you agree not to file a chargeback to avoid our refund policy. Any chargebacks will be contested as fraudulent. If we win a chargeback dispute, you agree to reimburse Afro Elevate for attorney fees, costs, losses, and expenses.
Cancellations by You and Unused Services
All payments to Afro Elevate are non refundable. This includes deposits and all follow up payments. Refunds are not provided for any reason including but not limited to personal emergencies, illness, work conflicts, injury, natural disasters, weather, missed flights, or any circumstance beyond Afro Elevate’s control.
In some cases, we may allow a one time transfer to a future trip or travel credit. Transfer approval is not guaranteed and is determined on a case by case basis.
Since Afro Elevate does not offer refunds, travel insurance is mandatory so you can file a claim with your insurer if you cancel.
If you fail to pay your balance by the stated deadline, your booking will be treated as canceled and all payments forfeited.
Cancellation Process
To cancel your trip, email afroelevate@gmail.com. Cancellations are effective on the date the email is received.
Unused Services
There are no refunds if you:
• Miss part of the itinerary
• Arrive late
• Leave early
• Skip activities
• Are removed from the trip for behavior or safety concerns
There are no refunds once the trip has begun.
Changes by You Before Departure
Any request to change your trip dates or alter the itinerary must be emailed to afroelevate@gmail.com. We are not required to accommodate such changes. Approvals depend on vendor availability and may incur additional fees.
Changes or Cancellations After the Trip Begins
After the trip begins, requests for changes may result in additional costs that you must pay. Afro Elevate has full discretion on whether to allow or deny changes.
There are no refunds for unused services due to:
• Illness
• Quarantine
• Symptoms or positive tests for infectious diseases
• Refusal of services by suppliers
• Any other reason
If you are quarantined or denied services, all related costs are your responsibility.
Cancellations or Changes by Afro Elevate and Flexibility
Afro Elevate may cancel, alter, modify, postpone, or rearrange any part of the itinerary for safety, comfort, or other reasons including mechanical issues, political climates, weather conditions, supplier error, or Force Majeure events.
If Afro Elevate cancels a trip for reasons fully within our control, you may be offered:
• A comparable replacement trip
• A refund of payments minus unrecoverable vendor costs and the non refundable planning fee
• A travel credit
If Afro Elevate must reschedule or modify a trip due to Force Majeure, refunds are not guaranteed and depend on supplier policies. Suppliers often do not offer refunds during Force Majeure events.
If costs rise due to unexpected events such as increased government fees, you may be responsible for additional payments.
Denial of Participation
Afro Elevate may deny participation to any traveler who we determine:
• Cannot meet the physical requirements
• Violates these terms
• Disrupts the group
• Creates a safety concern
• Behaves inappropriately
Removal is at your own expense.
Force Majeure
Afro Elevate is not liable for delays, expenses, or cancellations caused by circumstances beyond our control including:
Acts of God, terrorism, war, government restrictions, pandemics, epidemics, illness, natural disasters, civil unrest, weather issues, border closures, transportation breakdowns, or other unforeseeable events.
If Force Majeure occurs, Afro Elevate may cancel, modify, postpone, or reschedule your trip. Refunds are not provided unless suppliers refund Afro Elevate. Any refund will be reduced by the planning fee and all non recoverable costs.
Optional Activities
Optional activities not included in your itinerary are operated by independent suppliers. Afro Elevate does not guarantee the safety or quality of these activities and is not responsible for any injury, illness, or loss related to them. Participation is voluntary.
Discounts and Promotions
Promotions and discounts apply only to new bookings. They cannot be applied retroactively.
Pre Departure Documentation
You must carefully review all documents sent by Afro Elevate. Any inaccuracies must be reported within forty five days of receiving them. Failure to sign required documents may result in cancellation without refund.
Passports and Visas
You are fully responsible for obtaining all required visas, passports, vaccinations, and travel documents. Afro Elevate is not responsible for delays or cancellations caused by incorrect or missing documents and will not issue refunds for these issues.
Health and Medical
You represent that you are in adequate health to participate in all itinerary activities. You must disclose medical conditions that may affect your participation.
Suppliers may conduct health screenings and deny service if you show symptoms of infectious illness. Afro Elevate is not responsible for any related expenses.
Drug use is prohibited. Irresponsible alcohol use may result in removal from the trip.
Baggage
You are responsible for your personal belongings at all times. Afro Elevate is not responsible for lost, stolen, or damaged baggage or items.
Photography and Image Release
By joining an Afro Elevate trip, you grant Afro Elevate the right to use photos, videos, and recordings featuring you for marketing purposes in any format. Media creators retain copyright for content they produce.
Complaints and Claims
If you have a concern during your trip, notify your host immediately. Post trip claims must be submitted within ten days of the trip’s end to afroelevate@gmail.com with supporting documentation. Claims submitted after ten days will not be reviewed.
Personal Responsibility
You are responsible for selecting a trip appropriate to your comfort level and capabilities. Afro Elevate trips may involve cultural differences, physical exertion, and inherent risks.
Seatbelt Policy
You are responsible for wearing your seatbelt whenever a vehicle is in motion.
Cultural Differences
International travel may expose you to different customs, laws, sanitation standards, and cultural norms. You agree to act responsibly and respectfully during the trip.
Applicable Law and Venue
This agreement is governed by the laws of Maryland. Any dispute must be filed exclusively in Maryland courts.
Limitation of Remedies
The sole remedy for any claim against Afro Elevate is a refund limited to the amount paid to Afro Elevate in accordance with these terms. Afro Elevate is not liable for indirect, incidental, or consequential damages.
Electronic Signature
By signing electronically, you acknowledge that you can access and retain digital documents and agree to receive communications electronically.
Updating of Terms and Conditions
Afro Elevate reserves the right to update these Terms. Any update is effective three days after posting on our website or immediately upon written notice.
Merger
This agreement constitutes the full and final agreement between the parties and supersedes all prior negotiations and understandings.
